Dave, I’ve been experimenting with a Google Gmail account and am wondering if there’s a way that I can forward specific messages sent to that account to my regular mailbox? And if so, is there a fee or membership cost associated with it?
I too have a Gmail account and am very impressed with how easy it is to work with, how attractively it presents messages, how there’s sufficient archival space that I don’t have to keep cleaning out my mailbox, and how it’s so simple and clean compared to the ugly ad-heavy Yahoo Mail and Hotmail. Unfortunately, it’s also still an invitation-only system so getting an account is a bit of a “who you know”.
But, yes, there is a way to selectively forward messages from your Gmail account and there’s no cost associated with it (“nor”, Google assures us, “will there ever be.”).
The trick is to log in to your account, then click on the “Settings” link on the top right corner. There are lots of useful settings you can tweak here — don’t forget to turn on keyboard shortcuts, for example — but you want to click on “Filters” to accomplish what you’re trying to accomplish here.
Probably, you have no filters, so you’ll see a rather austere screen and a “Create a new filter” link. Click on it. Now you’ll see this:
To create a filter that selectively forwards messages that have, say, the pattern cikdiscuss in the subject, simply add those letters to the subject box, then click on “Next Step”.
Now you’re presented with five choices: archive the matching message directly (they call this “skip the inbox”), star it, apply the specified label, forward it to, and move it to the trash. Obviously, it’s the fourth choice that you want: check that option, enter the email address of your main mail account, click “Create Filter” and you’re done!
As you can see in the earlier screen shot, there are a number of different sophisticated filters you can create. I like that I can filter based on the content of the message, a real boon for using Gmail to help organize lots and lots of messages. MY kudos to the Google team for Gmail, and I just wish i could give everyone who reads AskDaveTaylor an account to check it out!

I created the filter as suggested & checked “Apply to 47 matching emails”, but none of them forwarded.
Is there a way to forward a bunch of emails at one time?
(As opposed to doing them one at a time from the ‘Reply’ > drop-down arrow > ‘Forward’).
Hi Dan. Do you have a corporate Google account for your office? That might well have different options and a much longer archive policy. If not, one thing you can do is set up a computer as an email archive system, duplicate all the addresses, then set up everyone’s Gmail account with a filter that forwards a copy of every inbound message. Not sure how to automatically have all outbound messages archived, though, perhaps someone else can suggest something?
Hi Dave, the company I work for has recently migrated lock stock and barrel onto GMail, this is ok except they have introduced an automatic 1 year deletion policy whereby your mail, both sent and inbound, gets deleted after a year.
This is disastrous for our division but the powers that be will not change their mind so my question is, do you know of any easy way of automatically archiving our mail externally, ie away from the Gmail system. To make things more complicated, we have to use the GMail web client and are not allowed to use Outlook.

Easy there, cowboy: you can indeed forward a single message and it’s pretty darn easy. See on the right just above the message text where it says “Reply”? Click on the little triangle next to it and you’ll find that the next choice down on the menu is “Forward”. Solved. 🙂

When I use this filter of forward selected messages, it is applied only to emails that comes in future. And it says old emails cannot be forwarded. Is there are option to forward selective emails to another account at one shot.

Cliff, easy: on the top right of the window within which your message is displayed (it has a small line that separates the messages from all the navigation, ads, etc) is a little button “Reply”. Click on the down arrow immediately next to it and you’ll see it’s a pop-down menu. Second choice: Forward. 🙂
Your answer re forwarding selected email missed the mark for me. Let’s say I receive 200 emails, go to my account, read them, choose one message, decide i want to forward it to another account, and just want to do that one time. How? When I forwarde mail I like to clean it up. Some of my messages have a long list of people That have sent mail to them. In the past when I got to foward I then eerase the wirk FW in to front of the topis. Then go into the massage and remove the people who sent it to me, and all the others. then When I send it it’s nice and clean. with just my name and the message. Is there a way to do this with gmail?

I have the same question that Ann Brooks has….How do I simply forward something from my email to another friends email….I did read your answer….I went to the header and there was no “more options” to be found there was a more actions but there was no forwarding to be selected…..there is a forward tab at the bottom of the message but you either got to copy and paste or type the email address by hand…Is there a eaiser way than that option?????

For #1, click on “more options” by the message header info in Gmail and you’ll see “Forward” as one of the additional choices that suddenly appears. For #2, that’s something you can adjust in your browser. Check “View” “Font Size” or similar, depending on what you’re using.

Yes, Sahil, as far as I can tell, you could indeed do just that with a Gmail account, if you’re so inclined. Or, you could set things up so that you keep a copy in your Gmail account AND have a copy forwarded to another mailbox. Nice, eh?

Stu, I think you’re asking about an Outlook filter that would automatically forward mail to your Gmail account, the exact opposite of what I wrote about here, right? If so, I believe that you can do that, but do remember that you’ll need to leave Outlook running at all times so that it can get and forward messages as they arrive in your mailbox.
